Job Purpose:
To provide a welcoming and efficient first point of contact for patients, supporting access to appropriate services through care navigation. The role includes general reception duties, administrative support, and assisting the clinical and management team in the smooth running of the practice.
Key Responsibilities:
Care Navigation & Patient Support
* Greet patients and visitors, providing a friendly and professional service.
* Assist patients in accessing the right care by signposting to appropriate healthcare professionals, services, or community resources.
* Provide information about practice services, appointment systems, and digital access (e.g. online booking, repeat prescriptions).
Reception Duties
* Answer telephone calls and deal with patient enquiries promptly and courteously.
* Book, amend, and cancel patient appointments using the clinical system.
* Register new patients, update records, and process change of details.
* Handle prescription requests and pass queries to clinicians where required.
* Manage incoming and outgoing correspondence (emails, letters, documents).
Administration
* Maintain accurate and up-to-date patient records in line with confidentiality policies.
* Assist with scanning, coding, and filing of clinical correspondence.
* Support clinicians with administrative tasks (e.g. referrals, forms, test results handling).
* Ensure waiting areas and reception are tidy and presentable.
* Participate in team meetings, training, and service improvement initiatives.
Skills & Qualities Required:
* Excellent communication and interpersonal skills.
* Ability to remain calm and professional under pressure.
* Strong IT and administrative skills with attention to detail.
* Understanding of patient confidentiality and data protection.
* A caring, patient-focused attitude with problem-solving skills.
* Flexibility to adapt to the needs of the practice and to provide cover when required, including extended access sessions (Saturdays 8am–6pm and Monday evenings until 8pm).
