The Role:
We're looking for an experienced Executive Assistant to join our team on a full-time, permanent basis.
The role is ideal for an experienced Executive Assistant seeking to gain exposure to high-level operations, and benefit from the opportunity to get involved in multiple areas of an SME, primarily supporting the Managing Director and Senior Team Members.
This role will be based from our Manchester office on a flexible basis allowing opportunities to work from home and off-site.
Responsibilities:
Diary Management:
Schedule and coordinate appointments, meetings, and events for the Managing Director. Ensure that their calendar is organised and optimised. This includes scheduling meetings with Clients based UK, US & EMEA time zones.
Errand Management
Managing personal errands on behalf of Managing Director.
Communication Handling:
Manage incoming calls, emails, and messages on behalf of Managing Director.
Draft and respond to correspondence on behalf of MD.
Meeting Coordination:
Arrange and coordinate meetings, including booking venues and handling logistics.
Prepare meeting agendas and documentation.
Travel Arrangements:
Plan and organise travel itineraries, including flights, accommodations, and transportation.
Provide necessary travel documents and information.
Document Preparation:
Prepare reports, presentations, and other documents as required.
Conduct research and gather information for reports and presentations in preparation for client/stakeholder meetings.
Data Management:
Organise and maintain files, records, and databases.
Ensure the confidentiality and security of sensitive information.
Project Support:
Assist in project management activities, such as tracking progress and deadlines.
Collaborate with team members on various initiatives.
About You:
* Experience:
Proven experience as an EA to Owner/Managing Director or senior executives, preferably within a start-up or SME environment. Min 3+ Years.
* Organisational Skills:
Exceptional ability to multitask and prioritise effectively
* Independence:
Capable of understanding context and making independent decisions on behalf of the MD. You need to be able to work well with ambiguity and sometimes read between the lines to find the solution needed.
* Problem-Solving:
Strong ability to think on your feet and tackle challenges proactively.
* Adaptability:
Positive, can-do attitude with the ability to handle last-minute changes
* Attention to Detail:
Meticulous attention to ensure accuracy in all tasks
* Communication Skills:
Highly proficient in written and verbal English with excellent interpersonal skills
* Confidentiality:
High level of discretion in handling sensitive and confidential information
* Travel Coordination:
Experience managing international travel arrangements
* Technical Proficiency:
Proficient in SharePoint, Excel, Canva, PowerPoint
* Strategic Acumen:
Experience in optimising processes to achieve desired goal with minimal input from others
