Job title: Lettings Administration and PA to Lettings Director
Location: Wimbledon, SW London
Salary: £38,000 per annum
Hours: Full time, 5 days per week, Monday to Friday
About the company
We are working with a well established, busy and ambitious independent Estate and Lettings Agency in Wimbledon, known for delivering exceptional service and achieving outstanding results. This is a pivotal role supporting the Lettings Director and the wider lettings team, combining high quality administrative support with PA duties and first class client and landlord engagement. This is a super-fast paced environment.
Job purpose
To provide comprehensive administrative support to the Lettings Director and the lettings function, ensuring smooth day to day operations, excellent customer service and efficient coordination of lettings processes including property onboarding, documentation and compliance tasks.
Key responsibilities
- Act as the first point of contact for landlords, tenants and external stakeholders in person, by phone and email, delivering a professional and responsive service
- Provide high level PA support to the Lettings Director including diary management, meeting coordination, travel booking and correspondence
- Prepare, proof read and issue lettings documentation including tenancy agreements, renewals, notices, referencing packs, inventories and tenancy deposit registration
- Maintain accurate and up to date records on the agency CRM and property databases
- Coordinate referencing and Right to Rent checks, chasing paperwork and ensuring compliance with company and legal requirements
- Assist with property marketing, including uploading details to portals, arranging photography and ensuring property particulars are accurate and live
- Support the lettings team with ad hoc administrative tasks such as filing, scanning, post meeting follow ups and reporting
- Liaise with contractors, inventory clerks and other third parties to support smooth lettings operations
- Maintain confidentiality and handle sensitive information with professionalism at all times
Person specification
- Previous experience in lettings administration, estate agency support, property management or a similar high level administrative role
- Prior experience providing PA or executive assistant support desirable
- Excellent organisational skills with the ability to prioritise, multitask and work under pressure
- Strong communication skills, both written and verbal, with a professional telephone manner
- Good working knowledge of Microsoft Office and agency CRM systems
- A proactive approach, strong attention to detail and willingness to take ownership of tasks
- Positive team player with a can do attitude
