Overview

We are seeking a highly organised and professional Office Administrator to join our team. This role is vital in ensuring the smooth day-to-day operations of our office environment. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency in various computer applications. This paid position offers an opportunity to develop your organisational expertise within a dynamic workplace.

Responsibilities

* Manage incoming calls with professional phone etiquette, directing enquiries appropriately
* Maintain and update company records through accurate data entry and filing systems
* Organise appointments, meetings, and schedules efficiently using digital calendars
* Prepare and edit correspondence, reports, and other documents using Microsoft Office and Google Workspace
* Handle invoicing and financial records using Xero or similar accounting software
* Assist with general administrative tasks such as photocopying, scanning, and ordering office supplies
* Support team members with clerical duties to ensure operational efficiency
* Liaise with clients, suppliers, and internal departments to facilitate communication

Skills

* Proven office experience with strong organisational skills
* Proficiency in computer skills including Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Gmail, Docs, Sheets)
* Experience with QuickBooks or similar accounting software is desirable
* Excellent typing speed and accuracy for data entry tasks
* Strong administrative experience with attention to detail
* Good phone etiquette and communication skills
* Ability to prioritise tasks effectively in a fast-paced environment
* Demonstrated organisational skills with the ability to manage multiple responsibilities simultaneously
