Job Summary
The Trust is recruiting a Ward Admin Assistant to support Ward Managers across the Trust, ensuring wards are productive, regulatory compliant and efficient, thereby enhancing patient care. This role reports directly to the Ward Manager/ senior nursing team and is based mainly at St. Peter’s Hospital, with occasional cross‑site duties.
Responsibilities
* Plan and book staff for statutory and mandatory training.
* Maintain up‑to‑date rosters and support rostering escalations using Rotageek and ESR systems.
* Take and distribute meeting minutes; support the organisation of ward team meetings.
* Handle sensitive information with confidentiality, including sickness and absence records, student shadowing, and patient property.
* Prepare return‑to‑work documentation, manage annual leave authorisations and update relevant staff records.
* Coordinate staff training, mandatory courses, appraisals and action plans for Harm‑Free Care.
* Support the Ward PA and Patient Flow Coordinator with administrative duties and Oracle orders.
* Assist with health & safety monitoring, incident reporting, and maintaining compliance with IPC and COSHH.
* Provide general administrative support to enable efficient ward function, including managing email, diary, and the major incident call‑out list.
Qualifications
* Essential: English GCSE Grade C/4 or equivalent, good IT skills, experience handling confidential matters, ability to prioritise workload and manage time effectively.
* Essential: Previous administrative experience, preferably in a healthcare setting.
* Desirable: Previous NHS experience.

Job Details
Band 3 – £26,240 to £27,928 a year, inclusive of HCAS. Permanent, 37.5 hours per week, Monday to Friday. Location: St. Peter’s Hospital, Chertsey (KT16 0PZ). Reference number: 323‑AC7125‑JN.
