Reports To: Global Program Manager, PMO

Key Relationships: Head of Program; Global COO

Purpose:

This role will be responsible for supporting the Program Management Office (PMO) for CBRE’s Global Property Management business line. Working directly with the Global PMO Team, Global Leadership Team and Global COO, the role will provide coordination, administration and reporting support for global projects and initiatives related to the implementation of Property Management’s global strategy. This job is part of the Program Management function. It is responsible for the creation and delivery of strategic programs representing major company initiatives.

Key Responsibilities by Category

I. Project Coordination & Management (Cross-Functional)

Global PMO Team Management:

Oversee the Global PMO Team's activities.

Ensure PMs maintain trackers, leverage agreed tools and templates, support platform enhancements, and keep internal collateral current.

Project Support & Execution:

Support project coordination, including stakeholder management and collateral development.

Manage project reporting and analytics.

Create and maintain routine PMO reports (status reports, Gantt charts).

Proactively identify risks and co-develop mitigations

Adjust project schedules and address program-related issues.

Support Property Management PMO campaigns (content development, rollout).

Execute successful project implementation and process improvements, collaborating with other departments.

II. Data & Reporting

PMO Database Management:

Coordinate and manage the PMO database (Smartsheet) and Power BI integration.

Collaborate with D&T for data reporting and interface enhancements.

Maintain the PMO Master Data Tracker, including pipeline assessment and ad-hoc project work.

III. Knowledge Management & Communication

Knowledge Management & Toolkits:

Develop and maintain the PMO's business enablement toolkits and resources.

Act as a subject matter expert for key systems and processes, providing knowledge transfer.

Meeting & Governance:

Manage the governance of Global meeting series (PMO COE, COO, Exec Committee, Leadership Team).

Schedule meetings, collaborate on content, align agendas, and produce post-meeting recaps.

Presentation Support:

Provide presentation support for key Global projects and initiatives (content gathering, consolidation, and design).

IV. General & Considerations

Global Focus: This is a Global PM role, which may involve out-of-hours meetings due to global stakeholder collaboration.

Qualifications, Education and Experience:

Education/Qualification

Bachelor's degree in Business or Project Management preferred

CAPM, PMP and/or Prince 2.0 certification desired

Relevant experience.

Experience

Experience working on project implementations, which include multiple audiences and stakeholder groups.

Executive stakeholder engagement preferred.

Experience with Smartsheet and Power BI is preferred.

Strong English proficiency, especially in writing

Excellent time management, analytical and organizational skills with the ability to manage multiple and concurrent workstreams.

Multi-market international experience, working with different cultures and communication styles.

Skills

Digital – Advanced PowerPoint, OneNote, Excel, Teams and Outlook.

Project Management – Project planning, tracking and data management.

Creative - Design/video production skills are a plus, but not a must.

A team player with a positive attitude.

Driven and proactive.
