Purpose of the Job
To deal with the Financial aspects of running the successful Daycare Centre and will involve maintaining accurate financial records, raising invoices and liaising with the University’s finance department. Operating a busy Office in the absence of the Manager, to include answering all queries and dealing with visitors.
Main Duties and Responsibilities
1. Supporting and liaising with the Manager on a daily basis.
2. Reviewing monthly suggested fee reports raising any concerns with the Manager.
3. Collating data to raise monthly invoices.
4. Collecting fees and maintaining records to ensure fees are paid.
5. Administration of childcare vouchers, pursuing outstanding fees and resolving any account queries.
6. Provide Childcare Offer Wales and voucher information to parents.
7. Provide salary sacrifice scheme information to parents.
8. Reconciliation with Finance Office for card purchases.
9. Order stores from suppliers and maintain full records.
10. Prepare information requested by Gwynedd Council for grants.
11. Order stationary and materials as required.
12. Work with the Agresso finance system and Microsoft Excel.
13. Process daily card payments for fees, including banking summary sheets and payment logs.
14. Liaising with University departments as required.
15. Attend staff meetings whenever possible at times appointed by the Manager.
16. Deal with queries and provide information and advice about the Daycare Centre activities for Parents and visitors in person, in writing and on the telephone and email.
17. Ensure a smooth running office, assisting the Manager with the planning and development of the support service, maintaining required confidentiality at all times.
18. Any other duties as appropriate to the post as directed by the Manager.

19. The post holder will be expected to participate in performance review and developmental activities.

Person Specification
Qualifications/Training
Essential
23. Minimum of 5 GCSEs at grades A* - C (incl. English and Maths) or NVQ level 2 in a relevant subject area or equivalent experience in a similar role.
Desirable
24. NVQ level 3 in a relevant subject area.
25. ECDL Certificate.
Experience/Knowledge
Essential
26. Knowledge of using financial systems.
27. Experience of keeping records of budgets.
28. Experience in using spreadsheets effectively.
29. Experience of raising invoices, pursuing outstanding fees and dealing with card payments.
30. Experience of working in an office environment and dealing with customers.
31. Experience in maintaining confidentiality.
Desirable
32. Knowledge of grant schemes, salary sacrifice scheme and childcare vouchers.
33. Experience with ordering supplies and maintaining full, accurate records.
