Overview
University Hospital Southampton NHS Foundation Trust is recruiting Patient Administrators, Patient Services Centre Administrators and Ward Secretaries to support the delivery of patient care through efficient administrative support. The role will be based at Southampton General Hospital, Royal South Hants Hospital, Princess Anne Hospital and Lymington Hospital, with core hours from 7 AM to 6 PM Monday‑Friday and 8 AM to 4:30 PM Saturday. Full‑time and part‑time positions are available.
Responsibilities
* Collaborate closely with ward leaders to provide administrative support in cancer care.
* Prepare documentation and use Microsoft 365 to organise and schedule meetings on behalf of the line manager.
* Deliver exceptional customer service by providing a professional telephone service, taking accurate messages and offering information and guidance as appropriate.
* Build strong relationships with consultants, administrative teams, nursing staff and external providers to ensure a smooth patient pathway.
* Provide cross‑cover for other patient pathway coordinators to maintain consistent and effective administration services.
* Handle direct communication with patients and healthcare professionals, arranging appointments, managing correspondence from outpatient clinics and facilitating the flow of information among clinicians and support services.
* Confidently use Microsoft systems with minimal supervision while demonstrating a tactful, sensitive approach to challenging situations.
* Exhibit empathy and excellent communication skills, acting as the first point of contact by handling telephone calls, e‑mails and visitors, responding promptly and efficiently to queries or redirecting them to the appropriate person or department.
* Thrive under pressure and prioritise workload effectively, demonstrating flexibility in multitasking and covering for colleagues as needed.
* Communicate effectively with ward teams, matrons, divisional nursing staff, consultants, ward administrators and patients.
* Handle approximately 20 000 calls each month from patients.
* Book over 650 000 outpatient appointments annually across 50 specialties within the Trust.
* Manage clinic schedules, reschedule and cancel appointments and fill new clinic slots.
* Cover reception desks at all locations, check patients in, schedule follow‑up appointments and address queries.
* Prepare patient packs for outpatient clinics.
Qualifications
* Strong written and verbal communication skills.
* Ability to work independently and as part of a team.
* Proactive, organised with strong attention to detail.
* Empathy and ability to handle difficult conversations with patients.
* Proficient in Microsoft Office and Microsoft 365.
* Familiarity with electronic systems is advantageous but not essential; training will be provided.
