Job Title

Administrative Support Specialist

Job Overview

We are looking for a highly organized and reliableSenior Admin Assistant to provide high‑level administrative and operational support to management. This role plays a key part in ensuring structure, efficiency, and smooth day‑to‑day operations, while supporting managers primarily based in theUnited States,with senior managers based in the UK.

This is afully home‑based position suitable for someone who enjoys working independently, bringing order to complex situations, and supporting multiple stakeholders in a professional, structured manner. The ideal candidate is detail‑oriented, proactive, comfortable working with data and systems, and able to maintain clarity and organization in a fast‑moving environment.

Key Responsibilities

Administrative Support

1. Provide comprehensive administrative support to management, including calendar coordination, meeting organization, and follow‑up actions
2. Prepare, format, maintain, and distribute documents, reports, presentations, and routine correspondence
3. Organize, record, sort, and maintain files and information in line with internal standards
4. Manage email and information flow, respond to inquiries, and route requests appropriately
5. Coordinate travel arrangements, meetings, and appointments as required
6. Operate standard office systems and tools to support daily administrative activities

Operational & Cross‑Functional Support

7. Support managers with administrative tasks across finance, planning, HR, IT, and other corporate services as needed
8. Assist with data tracking, reports, and preparation of materials for leadership discussions
9. Act as a coordination point between managers and internal teams, supporting clear communication and execution
10. Proactively track action items, deadlines, and deliverables to ensure follow‑through

Organization & Process Support

11. Bring structure to complex workflows by organizing information, priorities, and timelines
12. Support process consistency and identify opportunities to improve administrative efficiency
13. Work confidently with systems, data, and reports to ensure accuracy and transparency
14. Handle sensitive and confidential information with a high level of discretion and professionalism

Working Hours & Location

15. Full‑time, fully home‑based role
16. Standard working hours approximately08:00 – 17:30 (local time)
17. Role supportsUS‑based managers, but doesnot require working US time zones

Qualifications

Required

18. High School Diploma or equivalent
19. Minimum of3 years of experience in an administrative, secretarial, or similar support role
20. Strong organizational, prioritization, and time‑management skills
21. Proficiency in Microsoft Office tools (Outlook, Word, Excel, PowerPoint)
22. Strong written and verbal communication skills in English
23. Ability to work independently in a remote setup

Preferred

24. Experience supporting senior managers or leadership teams
25. Experience working in an international or matrix environment
26. Comfort working with data, reports, and structured processes
