Summary
We are seeking an experienced administrator with strong communication skills to provide administrative support primarily for our senior leadership team, including some reception duties.
Main Areas of Responsibility
Your Responsibilities Will Include
1. Providing comprehensive secretarial and administrative support for the Senior Leadership Team.
2. Representing the academy professionally and warmly to visitors, staff, and students, including managing telephone inquiries and organizing refreshments.
3. Maintaining a positive and confidential approach when working with all stakeholders, acting as a role model.
4. Keeping pupils' records up-to-date and accurate, both electronically and in hard copy, in collaboration with the Academy Secretary and Receptionist.
5. Assisting with detention administration alongside the Behaviour Administrator, liaising with parents, staff, and students, and maintaining accurate records.
6. Handling correspondence, calls, emails, filing, visitor inquiries for the SLT, and assisting at reception as needed.
7. Covering lunch, break duties, and lesson change-overs as directed.
8. Deputizing for the Principal’s PA when necessary.
9. Supporting the admissions process, including attending open events and assisting with testing.
10. Participating in Parents’ Evenings and informational events.
11. Adhering to all policies and routines set by the governing body and principal, taking responsibility for the whole school where appropriate.
12. Promoting the academy's ethos, equal opportunities, and diversity policies.
13. Ensuring compliance with safeguarding and child protection policies at all times.
14. Completing any necessary training courses.
15. Supporting administrative tasks related to enrichment, timetable management, primary liaison visits, rewards, ceremonies, and other events.
16. Using Word, Excel, PowerPoint, and CMIS.net for administrative functions and maintaining SLT diaries.
17. Designing and updating the school calendar annually in consultation with SLT and staff.
18. Managing SLT diaries, scheduling appointments, and ensuring awareness.
19. Taking minutes and preparing agendas for meetings under SLT guidance.
20. Supporting other administrative staff and ensuring effective communication.
21. Hosting visitors and extending hospitality.
22. Performing any additional duties to ensure smooth daily operations.
23. Briefing SLT on all relevant academy matters communicated through various channels.
Qualifications & Experience
We welcome applicants with:
* Proven administrative, secretarial, or reception experience, preferably in education.
* Training in ICT packages including Word, Excel, PowerPoint.
* Knowledge of personal assistant roles.
* Experience working in the public sector with diverse communities, ideally in an inner-city school or education setting.
* Experience maintaining data on management information systems.
* Experience working to targets and deadlines.
* Experience managing meetings, including preparing papers, minutes, and circulating information.
* Experience in front-of-house duties and managing events.
