Accounts Payable Clerk
We’re looking for a detail‑oriented and proactive individual to support the smooth operation of our Accounts Payable ledger for the NHS.
Job Summary
As an Accounts Payable Clerk, you will process invoices, match purchase orders, resolve queries efficiently, and ensure compliance with approved policies and procedures. You will work closely with suppliers, service line managers, and internal teams.
Main Duties:
* Discuss complex queries with suppliers, managers, budget holders and procurement staff related to non‑payment, incorrect or late payments.
* Ensure correct authorisation, coding and timely passing of invoices (purchase order and non‑purchase order).
* Support review of scanned documents for accuracy and register all invoices onto the accounts payable system.
* Investigate statements, credit notes, discounts and implement correct actions.
* Match invoices with orders on the electronic ordering system; investigate mismatches when auto‑match fails.
* Register and input invoices, credit notes and payment requests into the system following approved policies.
* Review invoices for payment, ensuring VAT is correctly identified and reclaimed, proper coding, authorisation and arithmetic accuracy.
* Receive and process manual payment request forms in line with relevant policies.
* Ensure payments are allocated to the correct supplier account.
Qualifications & Experience:
* Essential: Minimum grade C in English and Maths at GCSE. Demonstrable experience working within a finance department.
* Desirable: AAT Foundation Certificate Level 2 or NVQ Level 3, or actively studying AAT Level 2; Knowledge of NHS financial systems processes; Computer literate with Microsoft Excel proficiency; Strong communication skills (written and verbal).
