Personal Assistant - Allied Health and Health Science CCG

An exciting opportunity has arisen for a full-time Personal Assistant to the Allied Health and Health Science Clinical Care Group (CCG) SeniorLeadership Team. The post is based within Hafan Derwen in St David's Park, Carmarthen, and is fixed term until 31 March 2026 due to the secondment of the substantive post holder.
This post is pivotal to the smooth running of the Clinical Care Group which sits within the portfolio Chief Operating Officer.
Main duties of the job
The successful candidate will provide support to the Allied Health and Health Science Senior Leadership Team within the range of their responsibilities, acting as the main channel for communication within the team, with colleagues across the HB and with external stakeholders.
We are looking for a self-motivated enthusiastic individual with excellent organisation, communication and interpersonal skills. The role requirespreparation of agendas, production of timely, accurate minutes and action logs, and the development and management of electronic systems to support the care group function.
The ideal candidate will have experience in these areas and have an excellent working knowledge of Microsoft Office and will efficiently utilise Microsoft office packages, working independently with the ability to exercise initiative, work to deadlines and the ability to prioritise to ever changing demands.

Qualifications
* Level 3 Qualification (e.g. A Level, AS Levels, NVQ3) or equivalent
* Evidenced experience of a full range of duties working in an administrative / office environment
* Knowledge of specialist NHS/ Organisational terminology
* Secretarial training
* Educated to diploma level
Experience
* Experience of working as a Personal Assistant to a Senior Manager
* Prioritisation of work streams and delivery to challenging deadlines
* Experience of effective and efficient electronic diary/inbox management (Outlook)
* Taking and producing accurate minutes
* Experience of interpreting and collation of data into a standard format
* Experience of managing/maintaining a file system both electronic and hard files
* Experience of arranging meetings at various locations
* Experience of handling highly confidential and sometimes contentious / sensitive information.
* Understanding of the NHS
* Experience of working in a busy complex environment
* Experience of using Microsoft Office packages (including MS Teams
* Experience of working in a large complex organisation.
