ROLE OVERVIEW //

We are recruiting an Events Executive to work in the Events team, part of the firm’s Marketing department, located at our Head Office in London. This role will develop, plan and deliver a variety of best in class in-person, hybrid and virtual events across a calendar of 200 events a year and will:

* Understand how to translate the strategic requirements for an event into impeccable execution;
* Share ideas and advise event sponsors and stakeholders on effective and successful event delivery;
* Map out what a first-class event should look and feel like at Slaughter and May;
* Help plan and deliver the various work streams required to deliver such an event; and
* Have the quality of client experience at the forefront of all planning and delivery.


In this role, the successful candidate will collaborate closely with colleagues across the Marketing team, Global Client Development, Facilities and Operations, Audio Visual, and fee earners to manage events and drive forward the firm’s marketing strategy.

KEY RESPONSIBILITIES //

The Events Executive will work with fee earners and a broad range of teams across the firm, requiring versatility and the ability to manage multiple deadlines and relationships at one time.

You will be required to work outside our normal working hours of 9:30am to 5:30pm.

Key responsibilities of this role will include some or all of the following – there may be others which are not listed:


* Lead the planning and execution of multiple events simultaneously, managing the full event lifecycle from initial brief to post-event analysis including data interpretation.
* Develop event proposals and present innovative ideas and solutions tailored to strategic objectives.
* Create detailed project and campaign plans, including timelines, budgets, and resource allocation.
* Manage invitations and guest lists using e-marketing tools and oversee digital event build and rehearsals.
* Provide on-site event support to ensure smooth delivery, including trouble shootings and meeting and greeting guests.
* Work with the Global Client Development team to agree event objectives in collaboration with key stakeholders, including success metrics.
* Gain trust and maintain communication with internal stakeholders and external suppliers throughout the event lifecycle, identifying any issues and finding solutions.
* Develop, with the Content and Communications Manager, event marketing campaigns to communicate key messaging relating to client issues.
* Advise on appropriate marketing channels and event formats based on Commercial objectives.
* Develop and manage comprehensive event project plans and budgets effectively, ensuring cost-effective delivery.
* Source and manage suppliers, including obtaining quotes, negotiating contracts, and reviewing commercial terms.
* Provide comprehensive briefs to the internal Design Team for event identity, design, and production of event collateral.
* Lead logistical arrangements and liaison with the internal delivery teams.
* Identify, review and implement tools and technologies to enhance event delivery and attendee experience.
* Maintain and analyse event ROI data, producing post-event reports and insights for stakeholders.
* Produce engagement reports for events and campaigns and identify areas of improvement.
* Build and maintain strong internal networks, particularly with Commercial teams, to develop and refine best practice across events.
* Deliver events best practice and share industry knowledge with the wider team, contributing to continuous improvement.
* Advise and ensure health & safety and contingency procedures are in place and adhered to during event execution.
* Coordinate necessary licenses/policies for approval.


CANDIDATE PROFILE //

Candidates for this position must have:


* Worked, or be working, in a similar role within a professional services environment.
* A good working knowledge of virtual events and platforms, preferably EventsAir and Webex.
* Strong focus on adding value and remaining solution focused when dealing with challenges.
* Knowledge and experience of a CRM system (Dynamics 356 preferred).
* Ability to deal with multiple demands, including prioritising conflicting demands whilst remaining calm under pressure.
* Ability to present ideas, feedback and suggestions, clearly and succinctly in a variety of communication settings and styles.
* Meticulous attention to detail as well as the ability to prioritise, multi-task and work collaboratively to deliver high quality work.
* Ability to communicate effectively at all levels and demonstrate assertiveness as appropriate.
* Proactive approach to defining requirements and delivering solutions.
* Ability to communicate effectively with senior stakeholders, confidence to develop strong working relationships with fee earners and members of the Commercial team.
* Ability to manage and analyse data and identify trends within it.
* Ability to be proactive, entrepreneurial, and self-motivated.
* Excellent interpersonal and communication skills (written, spoken and presentational).
* Ability to build strong business relationships with internal and external clients and the resilience to deal with demanding individuals.
* Willingness to foster an inclusive team culture.
* High level of professionalism and integrity; displays the highest standard of professional ethics.
