First Military Recruitment is working in partnership with our reputable client who is seeking a Senior Administrator (Building Services) to join their team.
The role focuses on delivering efficient administrative and clerical support while ensuring smooth operational processes. The successful candidate will provide residents and clients with information and support throughout all stages of service delivery and works within a property maintenance environment.
Duties and Responsibilities:
1. Coordinate all repair works, maintaining communication with clients, residents, site staff, and subcontractors
2. Provide quotations for works
3. Arrange site surveys with Supervisors and FOMs
4. Manage administration of works from pre-start through to handover
5. Raise and input new projects/work orders using the Oneserve system
6. Prepare Applications for Payment (AFP) based on operative timesheets and schedules of rates
7. Collate and issue monthly and weekly financial statistics
8. Monitor job progress, including pending and completed works
9. Apply for variations and extensions where required
10. Develop job specifications provided by Supervisors/FOMs
11. Maintain job trackers showing status and value of work orders
12. Ensure compliance with health and safety policies and report hazards/incidents
Skills and Qualifications:
Essential:
13. Minimum of 4 GCSEs (A–C), including English and Maths
14. Experience in high-volume, high-pressure environments
15. Strong office administration experience
16. Significant customer service experience, dealing directly with the public
17. Excellent verbal and written communication skills
18. Strong IT skills (Microsoft Office and email systems)
19. Good numerical and analytical ability
20. Effective time and workload management skills
21. Strong organisational and administrative skills
22. Excellent negotiation and problem-solving abilities
23. Ability to work productively within a team environment
24. Understanding of and commitment to providing high-quality customer service
25. Understanding of and commitment to equality and diversity
26. Willingness and ability to undertake further training and development
Desirable:
27. NVQ in Business Administration
28. NVQ in Customer Service
29. Experience within building construction and/or housing maintenance
30. Fire Warden training
31. First Aid at Work (1-Day) certification
32. Display Screen Equipment (DSE) training
Location: Leatherhead, Surrey
Salary: £31,241.60 per annum
