Are you detail-oriented, organized, and passionate about financial accuracy? We’re looking for a proactive Accounts Administrator to join our dynamic team and play a key role in managing receivables, tenant accounts, and financial processes.
Your key responsibilities will include:
Receivables Management
* Accurately allocate daily bank transfers to tenant accounts using the Arthur Occupant system.
* Maintain and update the receivables tracker to ensure accurate financial reporting and reconciliation.
Tenant Enquiries (Rent)
* Process daily tasks tagged as 'Credit Control' and 'Accounts Assistant' in Arthur.
* Handle rent date changes, refunds, and unallocated payments.
* Issue credits for sundry charges and administer tenancy departure charges.
* Monitor and respond to queries in the Rent Enquiries inbox, ensuring high-quality customer service.
Deposit Dispute Management
* Manage end-to-end deposit disputes across schemes like TDS, My Deposits, Zero Deposits, and Flatfair.
* Raise claims, communicate with tenants, and handle negotiations.
* Escalate unresolved disputes to adjudication with comprehensive evidence.
* Log all disputed charges accurately in the property management system.
STA Processing
* Oversee daily case management within the YDO portal, ensuring timely resolution and operational efficiency.
Credit Control
* Proactively contact debtors 7–21 days after invoice due dates to reduce outstanding balances and support healthy cash flow.
But as we are a small team, we are collaborating a lot across the different departments, so we are sure that you will dig into even more tasks than what we have been able to cover above!
Qualifications
* Finished A-levels
* Minimum 2 years of work experience from a similar role
* Experience and curiosity in working with multiple systems, including property management systems
* Experience from working with the whole Office 365 package - especially Excel
* Fluency in verbal and written English (and since our tenants come from all corners of the world, additional language skills are meriting)
You’re someone who builds trust, works well with others, and gets things done. You stay organized, solve problems efficiently, and keep things running smoothly even under pressure. Clear communication and transparency are part of how you work.
If you're dependable and ready to make a difference, we’d love to hear from you!
