Salary: £33,179 per annum FTE / Actual Annual Salary £27,883 (based on 38 weeks) + Benefits.
Location: Hedge End, Southampton, Hampshire (SO30) – Fully Site Based.
Job Type: Full-Time, Permanent.
Working Hours: 37 hours per week, 8.00am to 4.00pm Monday to Thursday, 8.00am to 3.30pm Friday, Term-time only (38 weeks).
Job Overview
We have a fantastic new job opportunity for a Personal Assistant to join a modern secondary school, providing high-level administrative and organisational support to senior leadership.
As a Personal Assistant you will deliver confidential executive support, manage diaries, handle correspondence, and coordinate meetings to ensure the smooth running of daily operations. You will also support the wider senior leadership team and assist within the main office when required.
You will play a key role in communication, reporting, and school administration, using management information systems and maintaining accurate records in a fast-paced education environment.
Duties
* Provide a high-level, confidential Personal Assistant service to the Headteacher and Senior Leadership Team.
* Coordinate schedules, meetings, and appointments efficiently.
* Manage email accounts, correspondence, and enquiries promptly.
* Organise agendas, take minutes, and arrange venues and catering.
* Maintain accurate filing systems and perform general office administration.
* Use school MIS systems for reports, data entry, and administrative tasks.
* Assist with student admissions, appeals, and related processes.
* Support the planning and delivery of school functions and events.
* Provide cover and assistance across administrative teams when required.
* Collate and publish key documents including school improvement plans.
Candidate Requirements
Essential
* Previous experience in a Personal Assistant, Executive Assistant, or administrative role.
* Strong organisational skills with excellent diary management and multitasking ability.
* Excellent verbal and written communication skills.
* Experience using Microsoft Office (Word, Excel, Outlook) and database systems.
* Ability to handle confidential information with discretion and professionalism.
* Strong attention to detail and ability to prioritise workload effectively.
* Experience working in a busy office or administrative environment.
Desirable
* Experience working within a school or education setting.
* Familiarity with school management information systems (MIS).
* Experience supporting senior leadership or executives.
* Knowledge of admissions processes or education administration.
* First Aid qualification or willingness to obtain.
