Monday to Friday working 0700-1530, 0800-1630 and 0900-1730. 40 hours per week. Key Responsibilities: Supporting the Operational Excellence Manager with the maintenance of the quality management system (QMS) in accordance with the GDP guidelines, GPhC, ISO 9001 and ISO 13485 and 14001 standards. Supporting Depot Managers with the ongoing compliance with relevant standards, legal requirements, regulations and the PSDL documented policies and procedures. Investigation of incidents, including deviations, non conformances, client feedback and customer complaints, including the logging, notification and full investigation. Works with the operational training team. Supporting the preparation of responses to Depot audit findings/CAPA and action plans. Supporting in the preparation and review of risk assessments for risk management and change control requests. Supporting document owners, ensuring the effective and timely completion of all documentation within the QMS, in line with procedures for the control of documents, physical and electronic records. Participating in meetings to discuss incident investigations, CAPA, change control and risk assessment. Assisting with the monitoring and evaluation of trends in warehouse, transportation, and vehicle temperature conditions to ensure that products and orders are stored and transported in the correct conditions. Reviewing records relating to premises and equipment, including temperature records, alarm tests, calibration certificates and maintenance records. Completing client transportation questionnaires. Evaluating KPI reports for internal and external customers. Identify potential gaps in the processes and make recommendations for possible improvements. Complexity: Strong organisational and communication skills, with excellent attention to detail. Able to show initiative and be proactive, working well under pressure. Able to build effective working relationships with other members of the operations excellence team, internal customer and clients. Good understanding of the quality standards required and being able to promote a positive quality culture within the company. Must appreciate the need to retain confidentiality where appropriate. Specialised Knowledge: Able to use Word, Outlook, Excel, Teams and PowerPoint. Use of electronic QMS (Zen QMS) and Polar Track - training will be required as required.
