Job overview

We have an exciting opportunity for a customer focused People and Relationship Administrator to join the People and Relationship Team within the Trust.

To be the first point of contact for service users and provide an efficient and high standard of administration support to the People and OD Department, specifically the Business Partners and People and Relationship Team. The role will support with the provision of a comprehensive and proactive administration service, monitoring and maintaining processes and systems, and acting as the first point of contact for managers on people management queries.

To support the wider People and OD function as and when required.


Main duties of the job

Act as a first point of contact for callers to the People and Relationship team, including responding to routine people management queries, in an efficient and timely manner and escalating to the People and Relationship Advisors to respond as appropriate.

Provide an accurate and efficient administration service to the People and Relationship Team, through the provision of the following: incoming/outgoing telephone/Teams calls, HR inbox, stationary supplies, bring forward systems, filling systems, emails, typing, diary maintenance, arranging meetings, administering Trac, and other IT systems as required.

Prepare and produce letters, reports, notes of meetings (including formal investigations and hearings), spreadsheets and other documents in various formats in a timely manner.

Support in long term sickness absence meetings with note taking and basic advice or escalating to the People and Relationship Advisor.

Liaise with hosted organisations when required, including Shared Services, Payroll, DHCW, HTW and external organisations.

Essential criteria

Desirable criteria

* Welsh Language Skills are desirable levels 1 to 5 in understanding, speaking, reading, and writing in Welsh (please delete as appropriate)


Experience


Essential criteria

* Experience of Word, Excel and a good knowledge of HR information systems (including databases) e.g. ESR
* Experience of working to deadlines with competing demands


Desirable criteria

* Admin experience
* Experience of HR processes and policies
* Experience of supporting investigations


Qualifications


Essential criteria

* Educated to NVQ level 3 standard (including English) or possess the equivalent level of demonstrable knowledge and/or experience
* Knowledge of IT systems and using standard operating procedures

* Knowledge of basic HR Terms and Conditions
