PstrongPurpose/strong/ppTo provide a reception service, on a rotating shift basis between the hours of 07:45am and 13.00pm, Monday to Friday and to provide administrative support where appropriate./ppstrongKey Responsibilities/strong/pul liTo gain a full understanding of poultry in Pilgrims./li liTo manage the Main Company Reception Area./li liContribute to that department/ add value by developing requisite skills in this area in line with Pilgrims competency framework./li liTo deal with both internal and external switchboard calls in an efficient and courteous manner./li liManage post. Sort internal and prepare outgoing post for the Royal Mail postal service. Compile the post accounts and reconcile on a monthly basis./li liTo be familiar with basic switchboard and handset facilities and set up. Train users in switchboard and handset facilities as necessary. Report any switchboard or handset breakdowns to the IT Support Section/li liKeep company phone numbers and extension lists up to date on outlook./li liGreet and register visitors using the visitor protocol and notify relevant staff of their arrival. Ensure visitors are made aware of the Companys regulations regarding visitors to the site/li liManage meeting room bookings and diary, when required./li liMonitor and report any threatening calls as per the instructions provided./li liBe fully conversant with the documented Reception procedures and report any exceptional issues affecting the smooth running of the Reception function to the HR Advisor./li liTo collate roll call check list for weekly fire alarm test. /li liAssist the HR departments in general administrative duties./li liTo provide general ad hoc clerical services as required./li liAny other duties as may be required./li liTo work in a manner that actively seeks to reduce any negative environmental impact in relation to the processes and procedures operating within their area and across the wider business e.g. reduction of waste, recycling etc./li/ulpstrongKey Deliverables/strong/pul liPrevious receptionist/ telephonist experience./li liGood telephone manner./li liWell presented, open and friendly approach, articulate./li liAble to manage switchboard/li liGood organisational skills.
