Summary
We are seeking a detail-oriented Buying Admin Assistant to join our team. This role is vital in supporting our procurement processes and ensuring smooth administrative operations at our head office in Swinton. Contribute to our success by maintaining efficient purchasing workflows and providing exceptional administrative support.
Responsibilities
* Assist the procurement team with purchase order processing and tracking.
* Maintain accurate records of buying activities and supplier information.
* Coordinate communication between suppliers and internal departments.
* Support data entry and management using Microsoft Office
* Organise and prioritise administrative tasks to ensure timely completion.
* Prepare reports and documentation related to purchasing activities.
* Provide excellent phone etiquette and customer service to internal and external stakeholders.
* Critical Path Management- Involving the lifecycle of a product from initial concept/brief through to delivery.
* Supplier Relationships- Maintain relationships through daily liaison with Far East suppliers
* Product Set up- Outlining product specifications on internal systems and liaising with internal design department.
* Sample Management- Ensuring red and gold seal samples are recorded internally and adhere to the approval process.
* Buying Administration- Supporting the senior buyers with day to day admin such as purchase orders and carton markings.
* Raising artwork / design briefs for our inhouse studio and checking accuracy of output
* Help develop presentations/quotations and product specifications required by the customer using PowerPoint and excel.
* Qualifications
* Proven experience in office administration or purchasing support.
* Strong computer literacy, including proficiency in Microsoft Office
* Excellent organisational skills with attention to detail.
* Effective communication skills, both written and verbal.
* A numerate, articulate & creative individual who can thrive under pressure, with strong communication & team skills.
* Ability to handle data entry accurately and efficiently.
* Previous clerical or administrative experience preferred.
* Experience within the import / export industry.
