Job Purpose The Administrative Assistant will provide efficient and professional administrative support to ensure the smooth day-to-day operation of Allan’s Nursery. The post holder will be the first point of contact for parents, carers, visitors, and external agencies, maintaining confidentiality and delivering excellent customer service at all times. Key Responsibilities Administrative Support Provide general clerical support including filing, photocopying, scanning, and document preparation Maintain accurate pupil records and nursery databases in line with GDPR requirements Support the management team with data entry, reports, and correspondence Process nursery admissions paperwork and maintain waiting lists Communication & Customer Service Act as the first point of contact for telephone, email, and in-person enquiries Welcome visitors and ensure safeguarding procedures are followed Liaise with parents, carers, Stirling Council departments, and external agencies Finance & Resources Assist with processing invoices, payments, and petty cash in line with council procedures Support ordering and stock control of office supplies Compliance & Confidentiality Ensure all records are maintained in accordance with Stirling Council policies Handle sensitive information with discretion and confidentiality Support adherence to safeguarding, health and safety, and data protection regulations Person Specification Essential: Previous administrative experience Strong organisational and time management skills Good working knowledge of Microsoft Office (Word, Excel, Outlook) Excellent communication and interpersonal skills Ability to work independently and as part of a team Understanding of confidentiality and data protection Desirable: Experience working in an education or early years setting Familiarity with Stirling Council systems and procedures Basic financial administration experience Personal Attributes Friendly, approachable, and professional manner Reliable and punctual Flexible and adaptable Committed to supporting a positive nursery environment The successful candidate will be required to be a member of the Protecting Vulnerable Groups Scheme (PVG) for Children.
