University Hospitals of North Midlands is currently unable to provide sponsorship for Band 2 and Band 3 roles. The post holder will be based at a UHNM site and will have a Consultant allocated to them.
The post holders are required to support the Team Leader Medical Secretary in delivering a comprehensive administrative service to a specialty team. Responsibilities include managing communication of appointment and admission-related information to patients and carers, and typing correspondence as appropriate.
This role is a medical secretary position, involving office duties such as typing letters, managing clinic alterations, answering calls, and using software packages like Microsoft Office, Careflow, and IPortal. This list is not exhaustive.
Main Duties of the Job:
1. Handling telephone and other communications with sensitivity and confidentiality.
2. Ensuring systems are in place to deliver high standards of communication and maintain good working relationships.
3. Managing waiting lists effectively, complying with the Patient Access Policy to meet waiting time standards, considering clinical priority.
4. Being the first point of contact for queries related to the consultant(s), prioritising workload to ensure timely responses.
5. Liaising with the medical team and appointments department to schedule, cancel, or modify clinical commitments.
6. Taking minutes at department or team meetings, if required.
7. Providing information, advice, and guidance to patients, relatives, and carers regarding appointments and admissions.
8. Demonstrating new duties to new starters.
9. Maintaining good working relationships and working effectively as part of a team.
10. Processing, transmitting, and storing patient data using a computerised system, and filing paper data within case records in a retrievable format.
