Medical Secretary - Band 3 Substantive (37.5 hours per week)

North Bristol NHS Trust is looking for a reliable and enthusiastic Medical Secretary to provide efficient secretarial service to the Neurology Department at Southmead Hospital.

Key responsibilities include:

* Processing clinic letters, test result letters, general correspondence and other tasks required by the department.
* Receiving, sorting and prioritising daily correspondence.
* Monitoring waiting lists proactively.
* Contributing to the review of administrative and clerical functions within the department and making recommendations to enhance service provision for all users.
* Photocopying, filing and other administrative duties to ensure the efficient running of the office.
* Prioritising sometimes conflicting department requirements, independently or with consultants and other secretarial support, to meet deadlines – e.g. a 5‑day turnaround for clinics.
* Organising meetings, including booking of rooms as necessary, for clinicians and their teams.
* Acting as a contact point, liaising with patients, medical and nursing staff and other external agencies, dealing with queries competently and professionally, and taking action when appropriate in accordance with Data Protection.
* Providing secretarial cover and undertaking general office duties within the department as required.
* Effectively dealing with incoming mail for clinicians.
* Performing other reasonable duties appropriate to a Band 3.


Person Specification


Education / Training / Qualifications

Essential criteria:

* Good general education including GCSE in Maths and English (or equivalent).

Desirable criteria:

* Patient Administration System (PAS) training.


Work Experience

Essential criteria:

* Experience of working under pressure.
* Previous secretarial experience.
* Experience of prioritising workload.
* Recent working knowledge of the Microsoft Office package.

Desirable criteria:

* Experience of using Care Flow.
* Experience of working in a patient/customer focused environment.
* Previous NHS experience.


Personal Qualities / Special Circumstances

Essential criteria:

* Able to promote good working relationships amongst team and colleagues.
* Confident and sympathetic when dealing with patients/staff.
* Flexible.
* Hard‑working and organised.
* Able to exercise judgement and take responsibility for actions.

Desirable criteria:

* Willingness and ability to learn new IT skills and technology.


Knowledge / Skills / Abilities

Essential criteria:

* Excellent organisational skills.
* Knowledge of RTT.
* Ability to work to tight deadlines.
* Ability to work as part of a team.
* Ability to communicate clearly and effectively (written and verbal).
* Ability to work with a high degree of accuracy and attention to detail.
* Ability to maintain confidentiality.

Desirable criteria:

* Ability to review complex data.
