A Vacancy at Norfolk and Norwich University Hospitals NHS Foundation Trust. We are seeking a highly organised and proactive Administrative and Medical Secretary to support the Restrictive Lingual Frenulum (RLF) Multidisciplinary Team at NNUH. This is a vital role at the heart of a specialist service, ensuring seamless coordination, communication and continuity of care for patients and families.
You will provide a comprehensive administrative and secretarial service to the Consultant and wider clinical team, acting as a key point of contact for patients, carers, GPs and external agencies. You will coordinate clinic activity, manage correspondence, and ensure clear, timely communication across all stakeholders, maintaining efficiency even in the Consultant’s absence.

Responsibilities
* Coordinate the Restrictive Lingual Frenulum (RLF) service, ensuring smooth patient pathways and effective communication across the multidisciplinary team, patients, carers and external agencies.
* Act as a central point of contact, supporting clinicians, managing sensitive enquiries, and ensuring timely and accurate administration of patient care.
* Manage clinic activity, maintain patient records and databases, book appointments, and handle correspondence.
* Organise meetings, take minutes, support audit activity, and assist with the development and maintenance of RLF policies, guidelines and patient information.
* Assist with maintaining stock levels and supporting colleagues across the department to ensure continuity of service during periods of absence.
* Demonstrate initiative, problem-solving and sound judgement in day-to-day decision making (e.g., adjusting clinic schedules for urgent referrals, prioritising conflicting appointment requests, and escalating as required).
Qualifications and Skills
* Excellent organisational skills, attention to detail, discretion and the ability to work independently within a multidisciplinary team.
* Confidence in managing competing priorities in a busy clinical environment.
* Strong IT skills, including experience with patient administration systems and handling sensitive or complex situations with professionalism and empathy.
