TRS Programme Coordinator (Fixed Term) – University of Cambridge
The Transforming Research Support (TRS) Programme is one of the University’s initiatives to improve research support systems and processes. The TRS Programme Coordinator will provide critical support across the Research Portfolio, ensuring programmes and projects are effectively planned, governed, and delivered. They will act as the central point for coordination, reporting, and administration within the portfolio.
Key Responsibilities
* Programme/Portfolio Support
o Support the planning, delivery and governance of multiple systems delivery projects and programmes.
o Manage portfolio meetings (invitations, agendas, notes, actions).
o Maintain programme plans, RAID logs and action trackers.
o Monitor progress against key milestones and manage risk and delay escalation.
o Coordinate dependencies across projects, workstreams and business units.
o Source updates from team members to prepare programme status reports and senior stakeholder updates.
o Prepare Portfolio and Programme Board packs, ensuring timely and accurate information.
o Ensure compliance with governance frameworks, policies and standards.
* Financial & Resource Management
o Coordinate with Finance for budget reports for board packs.
o Assist in resource planning, recruitment support and resource allocation.
o Track vendor/supplier deliverables, contracts, purchase orders and invoices.
* Stakeholder Engagement & Communication
o Act as coordination point between project teams, business stakeholders and external partners.
o Support stakeholder communications, workshops and events.
o Maintain clear, concise communication channels across the portfolio.
* Tools & Processes
o Manage portfolio and project management tools (MS Project, Jira, Smartsheet, etc.).
o Champion best practice in project documentation, knowledge management and version control.
o Contribute to continuous improvement of programme and portfolio delivery processes.
Essential Skills & Experience
* Strong organisational skills with the ability to manage multiple tasks and priorities.
* Excellent written and verbal communication skills, including report writing and presentation.
* Proficiency with project management tools and the MS Office suite (Excel, PowerPoint, Project).
* Knowledge of project management methodologies (Agile, Waterfall or hybrid).
Desirable
* Previous experience in IT systems delivery or enterprise transformation programmes in Higher Education.
* Experience supporting programmes or portfolios, ideally in systems delivery or technology transformation.
Personal Attributes
* Proactive, detail‑oriented and solution‑focused.
* Comfortable working in a complex, change‑driven environment.
* Strong interpersonal skills with the ability to build trust and influence at all levels.
* Team player who can work collaboratively and independently.
