Job Overview
We are seeking an exceptional Customer & Operations Coordinator to act as the central role between our clients, service teams, suppliers, and leadership. This is a pivotal role within our organisation, requiring a confident, highly organised professional with outstanding communication skills and a proven track record of managing complex administrative and operational tasks in a fast-paced environment.
Responsibilities
Serve as the first point of contact for all incoming calls and general email enquiries, delivering a professional and solutions-focused experience.
Proactively manage client relationships, acting as a trusted liaison between customers, service engineers, and management.
Draft and send professional correspondence, proposals, and service communications to existing and potential customers.
Coordinate all service calls, breakdowns, and preventative maintenance visits, ensuring minimal customer downtime.
Manage the service bookings schedule for both UK and Belgium operations, including written confirmations and schedule changes.
Liaise with external contractors, suppliers, and internal teams to ensure seamless execution of service work.
Oversee the timely collection, review, and distribution of Field Service Reports (FSRs) and maintain accurate service records on company systems.
Manage procurement for non-contract work, including sourcing suppliers, raising quotations, and processing orders in line with company policy.
Maintain and update all company records, databases, and operational documentation.
Oversee MOTs, servicing, and maintenance schedules for company vehicles, ensuring full compliance.
Coordinate hotel, transport, and travel arrangements for staff and visitors.
Provide PA support to Directors and operational assistance to the Finance Manager.
Experience
Proven experience in a senior administrative, service coordination, or operations support role.
Exceptional communication skills (written and verbal) with a strong customer service mindset.
Highly organised, detail-oriented, and able to manage multiple priorities with accuracy and efficiency.
Proficiency with MS Office and CRM/ERP systems.
Ability to work independently, exercise sound judgment, and take ownership of outcomes.

Monday to Friday 9am to 17:30pm
