The Opportunity
We are seeking a warm, professional, and highly organised Receptionist to become the welcoming face of this exceptional clinic. As the first point of contact for patients and visitors, you will play a vital role in creating a positive, supportive atmosphere while ensuring the smooth day-to-day operation of the clinic.
You will bring genuine empathy and understanding, combined with a bubbly and uplifting personality, to help create an encouraging environment for patients during what can be challenging times. From managing enquiries and scheduling appointments to coordinating with third-party providers, your contribution will be central to delivering a seamless and nurturing experience for everyone who walks through the door.
Key Responsibilities
* Front Desk Management: Serve as the first point of contact, welcoming patients and visitors with warmth, professionalism, and positivity.
* Enquiry Handling: Respond to enquiries via phone and email, providing accurate information and escalating complex queries as needed.
* Appointment Scheduling: Manage the clinic's diary, schedule patient appointments, and coordinate with medical staff to ensure an efficient workflow.
* Daily Operations: Monitor and manage same-day schedules, addressing any adjustments or patient needs promptly.
* Coordination: Liaise with third-party providers to arrange blood tests, scans, and other patient services.
* Administrative Support: Manage patient intake processes, maintain accurate records, handle correspondence, and assist with wider administrative duties to ensure smooth day-to-day functioning.
Skills & Experience
The ideal candidate will bring:
* Proven experience in a customer-facing role; prior reception experience is strongly preferred
* Previous experience within a healthcare setting is desirable
* Proficiency in scheduling and booking systems
* Familiarity with standard office software, including email platforms
* Excellent verbal and written communication skills
* A genuine ability to connect with patients facing health challenges, providing compassionate and empathetic interactions
* A bubbly, positive demeanour that contributes to an uplifting clinic atmosphere
* Strong organisational and multitasking skills with excellent attention to detail
* Composure and adaptability in a dynamic, fast-paced environment
