Job Description
Job Purpose
To lead, manage, and develop a portfolio of complex, multi-partner research projects and commercial activities, providing high-quality project management, financial, and administrative support to academics and external stakeholders. To develop and implement processes, procedures, and reporting tools to support the University’s control framework. To represent the University in international meetings, increase network presence, and promote values.
Main Duties and Responsibilities
1. Develop knowledge of funding rules, regulations, systems, and terms to provide specialist financial and project management support, establish governance structures, and proactively manage research grants ensuring project outcomes are understood and monitored.
2. Plan and manage workload allocation in projects, ensuring system setup, controls, and reporting align with grant obligations and strategic objectives. Identify system or process enhancements for compliance and audit readiness.
3. Lead development of reporting and metrics, analyze results, and work with teams to implement changes. Empower consortium members, hold regular stakeholder meetings, and lead training on funding procedures and process improvements.
4. Act as the technical and financial expert for grants, working with auditors to maximize cost recovery. Develop workload metrics, monitor project implementation, and analyze results for continuous improvement.
5. Establish and build relationships internally and externally to influence change and best practices, negotiate income and costs, and support partner account settlements.
6. Create and evaluate risk management strategies, develop mitigation plans, and report project risks to stakeholders.
7. Identify opportunities for external project management support, lead negotiations, and interpret legal documents/contracts.
8. Coordinate project meetings, conferences, and training events, including overseas travel to manage project progress.
9. Contribute to department goals aligned with university strategy, lead delivery plans, and promote cultural and strategic values within projects.
10. Take responsibility for core workstreams in tactical and strategic finance projects, influencing design and outcomes.
Knowledge/Qualifications
Essential: Scottish Credit and Qualification Framework level 9 or equivalent, knowledge of project management, EU funding schemes, procedures related to controls and accounting in large organizations.
Desirable: Knowledge of FEC models, higher education research processes, recognized project management qualification (e.g., PRINCE2), HTML/web development skills, research management processes.
Skills
Essential: Project management, time management, influencing, negotiation, resilience, organization, communication, risk management, IT and analytical skills, financial planning, interpretation of guidelines, initiative, teamwork, adaptability.
Desirable: Fluency in another European language, advanced MS Office skills including macros and reporting.
Experience
Essential: Planning work activities, coaching, financial data management, data extraction and reporting, managing multiple projects, building external relationships, using relevant IT systems.
Desirable: Costing, analysis, forecasting with ERP, financial controls within HEI or research funding bodies.
Terms and Conditions
Salary: Grade 7, £40,497 - £45,413. Full-time (35 hours/week), fixed-term for up to 12 months. Internal secondment considerations apply. Eligibility for UK work and visa sponsorship requirements are noted.
