Administrative Assistant – Heating and Plumbing Company
Key Responsibilities
Job Scheduling:
Coordinate and schedule heating and plumbing jobs with engineers and estate agents.
Prioritise and organise daily job allocations to ensure efficient use of resources.
Monitor job progress and handle any rescheduling or cancellations.
Relationship Management:
Build and maintain strong relationships with estate agents and property managers.
Serve as the primary point of contact for estate agents, providing updates and resolving queries.
Understand estate agents' specific requirements and tailor services to meet their needs.
Administrative Duties:
Manage and update job booking systems and calendars.
Maintain accurate records of jobs, customer details, and billing information.
Prepare and send quotes, invoices, and reports as required.
Communication:
Act as a liaison between engineers, clients, and estate agents.
Provide clear and timely communication to ensure all parties are informed.
Handle incoming calls and emails professionally, resolving queries effectively.
Problem Solving:
Address and resolve scheduling conflicts, delays, or customer complaints promptly.
Liaise with engineers to troubleshoot and provide solutions to on-site challenges.
Skills and Qualifications
Experience:
Prior administrative or scheduling experience (preferably in heating, plumbing, or a similar field).
Experience working with estate agents or property management is highly desirable.
Skills:
Strong organisational and multitasking abilities.
Excellent verbal and written communication skills.
Proficiency in using scheduling software, CRM systems, and Microsoft Office Suite.
High attention to detail and accuracy.

Working Hours
Monday to Friday, 8am-5:30am, Flexibility may be required during busy periods.
Salary and Benefits
Competitive salary £25k-£30k.
