An exciting and rare opportunity has arisen within the Diabetes & Endocrinology Directorate. The post is working across ELHT sites, primarily Accrington PALS, Barbara Castle Way, and Royal Blackburn Hospital ; other ELHT sites may also be required..

We are looking for a motivated, enthusiastic individual who can follow instructions, work independently, and work as part of a team. Attention to detail is paramount for achieving high-level accuracy. Maintaining patient confidentiality and demonstrating excellent customer care skills are essential to this post.

The role is to provide comprehensive Operational Admin Support and information services to the Diabetes & Endocrinology Services.

The successful applicant should have excellent organisational skills and knowledge and experience of both Cerner and EMIS. They should also be computer literate with a good understanding of Word, Excel and Outlook as well as the ability to work to meet tight deadlines, transcribe letters, collect, understand & translate data from various sources.

Main duties of the job

• Provide performance data to develop and design information systems and support the Management Team in achieving capacity performance targets, while also assisting the administration team.
• Deliver timely, accurate, and easy-to-understand data, information, and trajectories to support performance and business delivery across the Service.
• Collaborate closely with and support Service and Directorate Managers in data reporting, quality assurance, waiting list management, RTT reporting, capacity and demand data, while notifying operational managers of any issues or concerns.

As the team lead for the administrative team, you will oversee daily operations and ensure efficient workflow among team members. Additionally, you will provide support to the administration manager as needed, helping to coordinate tasks, manage schedules, and facilitate communication between departments to enhance overall productivity and collaboration. Your role involves regular check-ins with team members to address any challenges and promote a positive work environment.

As stated above, within the primary duties and the attached documents:
• Ensure that the Data Quality policy is adhered to at all times by all members of the Service.
• Work closely with and provide support to Service and Directorate Managers in data reporting, quality assurance, waiting list management, RTT reporting, capacity/demand data, and notifying operational managers of any issues or concerns.
• Liaise with Team Leaders/Managers regarding capacity and demand issues within their teams to ensure flexible use of resources across ELHT and maximise productivity.
• Participate in the training and supervision of junior staff, such as administrative team members, as appropriate.
• Maintain confidentiality at all times, ensuring information is only disclosed to authorised sources and by appropriate means.
• Respond to enquiries from patients and healthcare personnel as appropriate, providing empathy and reassurance to patients where necessary. May be required to convey clinical/medical information to patients, medical, nursing, pharmacy, or other healthcare staff when instructed or permitted by a Consultant.
• Support transcription and production from digital dictation, audio-tape, or shorthand of typewritten correspondence, using various IT packages, for the Diabetic Foot team, handling complaint responses, referral letters to other specialists, GPS, and urgent x-ray letters in the absence of admin teams.
• Perform various other duties as required to support the teams.
The successful candidate will need to possess excellent organisational, communication, and keyboard skills and must be able to work well both as part of a team and independently.

Essential criteria

* Recognized educational standards i.e., GCSE ‘O’ Level Grade A – C, 4 – 9 or equivalent / similar level alternative qualifications in English Language and Math’s
* ECDL/CLAIT or equivalent / similar alternative quals or IT experience
* Previous Vast experience of EMIS, Cerner & Other department / trust systems
* Proficient in the use of Microsoft Office, especially Excel, Word, and Outlook.
* Referral to Booking experience.
* Able to collate large data sets from a varied sources data and produce coherent reports
* Able to travel between ELHT sites
* Willingness to learn new systems and processes
* Experience team leader / management skills


Desirable criteria

* Awareness of Health & Safety in office environment.
* Knowledge of Data Protection and Caldicott guideline
* RSA III typing qualification
* Awareness of Equal Opportunity issues
