The Service:

The Early Help and Prevention Service in Portsmouth provides extra practical help with families early on, to stop problems from getting worse. The Young Carers project offers Young Carers a break from their caring role, a chance to leave their problems behind, and have fun like any other young person.

Your New Role:

You will provide high-quality administrative support to the Young Carers team at the Somerstown Family Hub, playing a vital role in ensuring smooth business processes and responding flexibly to support the service priorities. Your responsibilities include organising meetings (booking venues, preparing materials, ensuring facilities), taking minutes, handling enquiries, processing orders and invoices, drafting correspondence, data entry, and performing word processing, spreadsheets, database, and presentation duties. The role is primarily office-based with occasional opportunities for hybrid working.

The ideal candidate:

* Experience in an administrative role within a busy office environment, preferably within Children’s and/or Young People’s Services.
* Leadership experience in managing change and line management, including performance management.
* Excellent numeracy and literacy skills, proficiency in Microsoft 365 applications such as Word, Excel, PowerPoint, OneDrive, Outlook, SharePoint, and Teams.
* Shorthand or minute-taking skills to record concise notes in meetings.
* Experience in budget monitoring, including placing resource and project orders and monitoring budget forecasts alongside the Locality Manager.
* Excellent communication skills, a professional telephone manner, patience, empathy, and active listening skills to handle a wide range of callers effectively. Ability to communicate clearly in spoken English is essential.
* A customer-focused approach, maintaining high standards of customer care and service.
* A willingness to support Early Help and Prevention Service Leaders in delivering effective services to children and families.
