To assist the HR department and the Site teams in providing administration support to the Sizewell project, including responsibility for specific tasks and projects within the Departments. All tasks are carried out in compliance with strict confidentiality of data & GDPR legislation.
Key Tasks & Responsibilities
1. Visa Submissions: Liaise with overseas Group Companies and their employees to gather necessary documents and information to support visa applications. Coordinate with Immigration Advisors to complete the visa process.
2. Right to Work in the UK: Ensure compliance with legislation regarding employees' right to work. Conduct regular checks on employees’ files and liaise with the immigration agency and Home Office to ensure compliance.
3. Security Vetting: Communicate with employees and agency workers about the vetting process, gather relevant documentation, and support them through security checks.
4. ID Document Verification: Verify and review ID documents submitted to vetting partners, liaising with third parties for academic vetting and qualification checks.
5. Competency Requirements: Assist overseas employees in obtaining construction industry competency cards, including booking tests and processing applications.
6. Booking Inductions: Coordinate with site teams to schedule inductions for new visitors.
7. Meeting and Greeting: Serve as the first point of contact for visitors, new employees, and agency workers upon arrival.
8. Support for Integration: Assist managers with integrating new staff, including collecting IT equipment, organizing medical appointments, and providing necessary resources.
9. Ongoing Support: Support HR with employee integration and ongoing assistance, including overseas workers.
10. Administration: Perform office duties such as handling calls and inquiries.
11. Correspondence & Communication: Draft and send emails, letters, and other communications, maintaining reference copies.
12. Additional Tasks: Perform other reasonable tasks and projects as required.
Minimum Requirements
* Previous experience in administration and data entry.
* Customer-facing experience.
* Excellent communication skills to build relationships at all levels.
* Strong organizational and planning skills for fast-paced support.
* Proficiency in Microsoft Office, especially Excel.
* Resilient with a positive, confident attitude.
* French language skills are desirable.
