The job purpose is to work collaboratively with all members of the Executive and Department Leads. The post holder will work with minimal supervision and be expected to work flexibly as part of a team, supporting a wide range of tasks such as administrative duties, support with data analysis, report writing, and gathering information. You will also be required to liaise with internal and external stakeholders and partners. Your role will include liaising with managers and employees to ensure smooth communication and prompt resolution of various requests and queries.
Main duties of the job
1. Provide comprehensive administrative support to staff within the Executive and Department Leads.
2. Answer telephone/email enquiries and other communications requiring tact, diplomacy, sensitivity, and confidentiality.
3. Action routine correspondences, prepare acknowledgements, and respond to letters as requested.
4. Assist with the dissemination and collation of information/returns for business management in a timely manner.
5. Help improve service quality and contribute to administrative service improvements.
6. Organise and control own workload, ensuring deadlines are met and duties performed efficiently.
7. Provide cover for team members in their absence and assist with their workload as necessary.
8. Support the effective use and maintenance of office systems and introduce new systems as needed.
9. Establish relations with internal and external partners to ensure effective information sharing.
