We're looking for an Administrator to join our growing team!
More about the role:
* Allocate jobs to technicians based on priority and availability.
* Maintaining accurate records in the Truckfile vehicle management system.
* Monitoring job progress.
* Record and close completed jobs in Truckfile.
* Check and log vehicle defects, liaising with workshop manager to ensure correct priority.
* Ensure defects are recorded and resolved promptly on the Truckfile system.
* Maintain accurate defect records
* Track VOR status when confirmed by workshop manager.
* Liaise with relevant parties to minimise downtime.
* Raise and process purchase orders (POs).
* Prepare and issue customer invoices.
* Reconcile workshop costs and ensure accurate billing.
* Maintain and update Truckfile vehicle management system.
* Ensure all vehicle records are current and compliant where required.
* Communicate with lease companies regarding repairs, servicing, and approvals.
* Provide updates and documentation as required.
* Ensure waste oil and other workshop waste is collected and disposed of when informed by workshop manager.
About you:
* Proven experience in an administrative role.
* Strong organisational and time management skills.
* Excellent attention to detail and accuracy.
* Proficient in Microsoft Office (Word, Excel, Outlook).
* Knowledge of invoicing and PO processes is advantageous.
* Right to work in the UK is essential.
