Queen’s Crescent Community Association (QCCA) runs one of the largest and most diverse older people’s services in Camden. We operate in the borough’s most deprived area and annually support around 300 people aged 55 to live happier, healthier, more connected lives. The new co-ordinator will be responsible for delivering a full programme of activities. This includes chair-based exercises and yoga, 1:1 gym sessions, line dancing, reflexology, drama, art & craft, bingo, coffee mornings, movie matinees, outings and a Wednesday Lunch Club. We also offer free advice and advocacy sessions to support our older members with issues including housing, benefits and PIP, housing. The ideal candidate will want to make good personal connections with our users, as well as showing passion for growing the programme overall, in size and scope. KEY DUTIES: We are looking for someone who will: • Lead, manage and deliver the programme for people aged 55 in Gospel Oak and the surrounding areas • Line-manage a number of sessional and part-time staff, responsible for HR and payroll. • Recruit, manage and supervise a team of volunteers and actively engage them in the design and delivery of the services • Prioritise outreach and promote the programme locally, developing positive relationships with older people, local care homes, sheltered housing schemes, health centres and other partners. • Deliver regular and accurate reporting. This includes conducting surveys and consultations with staff and users to provide data for quarterly board meetings, updates for funders and support to our fundraising team. • Plan and deliver a fully sustainable programme. We prefer to offer all activities free of charge to users when we have the funding. However sometimes it’s necessary to make some sessions fee-paying and/or volunteer-led. The right candidate will be able to balance these two needs with creative thinking • Support older people to access internal and external services that promote their mental health and wellbeing. • Organize specialist talks and workshops for older people that will increase their understanding of health, wellbeing and other relevant issues • Manage the Wednesday lunches to ensure that there are enough volunteers to serve, clear away and wash up, there is a supply of clean laundry and enough tea, coffee, milk, napkins, etc., and that any necessary food shopping is done. • Manage the coffee mornings and refreshments for activities, keep supplies up to date and set up, and clear away after each session. • Undertake relevant administrative duties, ensuring that: - Members complete registration forms and that registers are completed for every activity session - The Time to Spare CRM database is kept up to date with information taken from attendance registers and registration forms so that statistics can be provided for reports. - Regular progress reports are written for funders, an annual report for the AGM and quarterly reports for the board of trustees - Accurate expenditure and income records are kept for the programme. This includes recording onto the Square Up database money taken for activities such as lunches and outings - The Equals card spreadsheet is kept up to date for all transactions - Petty cash forms are completed for all money taken from the petty cash box - Staff hours are updated and corrected for the older people’s service monthly payroll sheet and Blip database. This covers all line-managed personnel. - Monthly outings are planned with input from beneficiaries, checking for accessibility for wheelchair users, buying tickets, carrying out risk assessments, taking bookings and payments - An events’ calendar is designed monthly so that it’s ready to print and send out to the service’s mailing list by the end of each month - The mailing list is maintained and updated so that we can keep in regular touch with beneficiaries - All recognized good practice models and frameworks are adhered to, ensuring that service delivery meets defined quality standards and performance levels - The programme is delivered and integrated into QCCA’s wider services
