Medical Secretary - Gynaecology & Obstetrics

We are looking for an organised and proactive Medical Secretary to join our Gynaecology & Obstetrics service, primarily with the Gynaecology Oncology team. This role is central to patient care, working closely with a multidisciplinary clinical team, fellow secretarial colleagues, and the Cancer Patient Pathway Manager.
In this position you will deliver a comprehensive administrative service to the multidisciplinary team, ensuring smooth, efficient, and patient‑focused pathways. You will act as a key point of contact, coordinating communication between patients, clinicians, and external organisations.
Responsibilities
* Provide a complete medical administrative service, including patient correspondence, copy and audio typing, editing and formatting letters, information resources, referral to treatment data entry and other documentation as required.
* Serve as first point of contact, answering telephone enquiries, taking and relaying messages politely, and prioritising issues using personal judgement. Disseminate key information in line with Information Governance and Trust policies.
* Assist in patient treatment workflows: updating databases and computer systems, ensuring timely referral action to other healthcare professionals or external organisations.
* Arrange and, where necessary, cancel or reschedule appointments, book follow‑up appointments, and manage the waiting list appropriately.
* Scan and upload clinical information to keep patients' electronic medical records current, and retrieve results from in‑house systems as required by clinicians.
* Provide cross‑cover within the administrative team as required.
Qualifications & Training
* Post‑GCSE qualification (e.g., A level, Advanced apprenticeship, NVQ 3 or equivalent experience).
* Typing qualification or experience.
Knowledge & Experience
* Demonstrable experience and knowledge of office and administrative processes.
* Experience within the NHS or a similar healthcare setting.
Specific Skills
* Computer literate in Microsoft Office applications (Word, PowerPoint, Outlook) and other software such as Adobe, Internet Explorer, Google Chrome.
