Medical PA

We have an exciting opportunity to join Mid and South Essex NHS Foundation Trust. We are looking for a medical PA to provide an effective, efficient personal assistant and secretarial service to clinical staff.
You will act as the first point of contact for users of the Trust, dealing with telephone calls and enquiries promptly and efficiently, providing immediate response and referring as necessary. These will include personal enquiries from patients and their relatives, as well as calls from GP's, clinicians, students, nursing and administrative staff, at all times understanding the sensitive nature of calls.

Main duties of the job
* Prioritise workload and complete tasks within prescribed timescales.
* Respond promptly and appropriately to telephone, personal enquiries and correspondence.
* Accurately update and maintain EPR's in line with Local and Trust Policies.
* Maintain effective verbal and written communication with consultants, GP's, patients, etc.
* Provide guidance and support to new and temporary secretaries, acting as a trainer, coach, and mentor when required.
* Deliver a full secretarial service to clinicians, including audio typing/transcription and processing of clinical letters, reports, and other relevant records, ensuring quality standards are met.
* Ensure all patient correspondence relating to outpatient clinics and inpatient admissions is produced accurately and sent out within agreed timescales.
* Liaise with departments across the Trust, general practitioners, patients, relatives and visitors, resolving queries as appropriate.
* Act as first respondent when dealing with issues or complaints from patients, G.P.'s, etc., to ensure satisfactory outcomes. When required, deal with private patients, overseas visitors and fellow colleagues in accordance with working methods of relevant consultants and Trust procedures, handling all correspondence safely using local and Trust policy.

Person Specification
Qualifications
* OCR (RSA) Level 3 typing or equivalent
* GCSE or equivalent in English and Maths
* AMSPAR Level 3 Medical Secretary Diploma or equivalent
Knowledge and Experience
* Proven experience as a Senior Secretary/Personal Assistant in a busy environment.
* Experience undertaking diary management for consultants/senior managers.
