Job Overview
We are seeking a dedicated and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide essential support to our office operations, ensuring smooth communication and efficient workflow. This role requires strong organizational skills, proficiency in various software applications, and the ability to manage multiple tasks effectively. The Administrative Assistant will serve as a key point of contact for our customers and the rest of the team.
Responsibilities
* Manage front desk operations, including greeting visitors and handling enquiries
* Answer and direct calls using a phone system with professionalism and courtesy, for example giving customers price information
* Perform data entry tasks accurately and efficiently by raising customer invoices for orders placed, booking deliveries into warehouses etc
* Take card payments over the phone
* Liaise with our production and dispatch team
* Maintain organised filing systems for easy access to documents
* Provide customer support through effective communication and problem-solving skills
* Utilise Sage for basic bookkeeping tasks as needed
* Support office management functions, ensuring a clean and organized work environment
* Handle clerical tasks such as email correspondence, maintaining records and any other admin tasks required
Skills
* Able to use Microsoft Office Suite (Word, Excel, PowerPoint)
* Strong organizational skills with the ability to prioritize tasks effectively
* Excellent phone etiquette and customer service skills
* Previous experience in administrative roles or office management is preferred
* Familiarity with Sage or similar accounting software is advantageous
* Strong typing skills with attention to detail for data entry tasks
* Ability to manage time efficiently for busy times
