Senior Planning & Fulfilment Administrator
We are looking for an enthusiastic and hardworking Senior Planning & Fulfilment Administrator with experience in customer service and sales‑driven roles. The candidate should be reliable, computer literate, detail‑oriented, analytical, and possess excellent communication skills, a great telephone manner, and the ability to multi‑task and prioritise workload. The role thrives in a busy, productive environment.
Responsibilities
* Contract order inputting, working closely with planning to ensure orders are entered with correct delivery dates aligned with capacity.
* Daily contract order dispatch, including sending dispatch notes, CofA and CofC’s.
* Producing and distributing a weekly and monthly dispatch report.
* Full vet process, collaborating with planning to schedule products early to reduce bulk and finished goods awaiting vet approval.
* Deliver excellent customer service that ensures ongoing sales and high levels of customer satisfaction.
* Support reporting the at‑risk customer service tracker and issuing to relevant departments.
* Support the customer OTIF report and issue to the Operations Director & Supply Chain Manager.
* Work with the Supply Chain Manager to deliver a "World Class" level of customer service.
* Manage projects to improve OTIF levels for all customers.
* Own key customer order trackers, acting as the main point of contact for the Top 5 Customer Accounts from a customer‑service perspective and attending weekly and monthly account calls.
* Send product specifications to customers upon request.
* Scan and file all proof of export, proof of delivery and delivery notes in the system.
* Arrange and create commercial invoices and any other export documents where required for customers.
* Update and chase artwork boards with the sales team to avoid delays.
* Process credit notes for customers when required.
* Book in and arrange loads for bulk orders when required.
* Complete FDA prior notices for shipments to the USA.
* Escalate and respond to all customer complaints in a timely manner.
* Ensure orders align with production plans and notify customers of all delays.
* Monitor order shortages and inform customers prior to dispatch.
* Communicate with customers and respond to all queries within a reasonable timeframe.

Working Hours
Monday to Friday, 9 am – 5 pm.
Salary
Circa £30,000, depending on experience.
