The Project Coordinator plays a vital role within the team, requiring multitasking and prioritization skills due to the busy nature of the role. This position is based in our Mallusk office and supports HVAC Capital Works projects in Northern Ireland.
Summary of Duties:
* Coordinate site construction projects to ensure effective and timely completion.
* Manage scheduling of engineer diaries for optimal project coverage.
* Handle incoming calls efficiently, recording and managing them to meet standards.
* Support clients via telephone and email communication.
* Log and assign response maintenance calls promptly.
* Process operatives' paperwork and close calls for payment submission.
* Respond within agreed timeframes, service levels, and contract terms.
* Achieve targeted KPIs related to contract requirements.
* Assist in cross-training team members to cover all contract aspects.
* Perform routine administrative tasks.
* Communicate with stakeholders and clients effectively.
* Escalate issues early to line managers or clients.
* Undertake additional duties as requested by management.
* Ensure compliance with policies and procedures.
* Support applications and certificates from authorities/clients.
* Work safely and diligently, adhering to health and safety standards.
* Schedule daily routes for multiple operatives.
* Organize materials, liaise with suppliers and subcontractors.
* Maintain professionalism and confidentiality at all times.
* Calculate engineer performance metrics and bonuses.
Person Specification:
* At least 1 year of experience in an office environment.
* Minimum of 5 GCSEs, including English and Maths.
* Proficient in Microsoft Office suite.
* Proactive, independent worker with limited supervision.
* Strong customer focus and professionalism.
* Excellent organizational and communication skills.
* Ability to work collaboratively and develop good relationships.
* Adaptable, flexible, and positive attitude.
* Capable of multitasking large volumes of calls.
* Trustworthy and approachable, leading by example.
