Main duties of the job
We are looking for a proactive and highly organised individual to join our team as an Administrator, providing vital secretarial and administrative support to the Respiratory Physiology and Sleep team based within the Preston Community Diagnostic Centre.
In this varied and rewarding role, you will be responsible for planning, organising, coordinating, and supporting the day-to-day operations of the department. A key part of your responsibilities will include ensuring clear and efficient communication between medical staff, GPs, patients, relatives, the public, and other departments within the Trust.
You’ll be expected to work independently with minimal supervision, using your initiative and adaptability to manage a range of tasks that directly contribute to the smooth running of the service. Your support will enable the Physiologists and wider team to focus on delivering high-quality patient care efficiently and effectively.

Detailed job description and main responsibilities
Develop and maintain effective working relationships with clinicians, managers and others within the Respiratory and Sleep team and Trust wide service users.
Be the point of contact for all non-routine enquires facilitating communication and information flows, initiating and responding to correspondence and resolving enquires.
Investigate and respond to complaints/incident forms as required, taking action where necessary and reporting to line manager.
Undertake secretarial duties:
• Diary management
• Collation of papers for consultations in support of the preparation for meetings/presentations or the development of reports
• Typing of clinic letters or other correspondence produced by consultants, junior medical staff, Physiologists and any other staff
• Prepare presentation material including power point
• Utilisation of local or Trust case note tracking system
• Filing of reports and results
Work in conjunction with line manager in relation to managing OP slot utilisation, minimising DNA’s and waiting lists.
Management of results and information flow.
Planning and organisation of the day to day needs of clinical team.
Assist in the recruitment and selection of staff within areas of responsibility and the organisation of induction and orientation/training programmes.
Assist in the on boarding of new team members

Qualifications & Education
Essential criteria
9. NVQ 3 in Business & Administration or evidence of practical experience
Desirable criteria
10. European Computer Driving Licence Certificate
11. Good standard of secondary education GCSE at Grade C or above
Knowledge & Experience
Essential criteria
12. Significant experience of working as an administrator or secretary
13. Experience of office and resource management
14. Experience of producing documents to a high standard of presentation with good accuracy
15. Experience of maintaining detailed database and spreadsheet information
Desirable criteria
16. Experience of working in multidisciplinary team
17. Experience of working within the NHS
18. Knowledge of medical terminology
