Job Description
We are seeking a dedicated and detail-oriented Property Administrator to join our team. The ideal candidate will possess strong organisational skills and a proactive approach to managing property-related tasks. This role is essential in ensuring the smooth operation of our processes, providing exceptional service to occupiers and landlords alike.
Duties
* Manage day-to-day administrative tasks related to property management, ensuring all records are accurate and up-to-date.
* Utilise our company software for data entry and management of occupier and landlord information, agreements, and maintenance requests and notes/call logs.
* Handle incoming calls with professionalism, demonstrating excellent phone etiquette while addressing tenant inquiries and concerns.
* Assist in contributing to maintaining and improving occupancy rates.
* Coordinate with maintenance teams to ensure timely resolution of occupier issues and upkeep of properties.
* Coordinate with other office team members to handle queries smoothly and efficiently.
* Implement good organisation for any confirmed appointments.
* Ensure Property inspections are booked in, logged and reviewed. Coordinate this with our Property inspectors.
* Maintain an organised filing system for both physical and digital documents related to property management.
* Handle any utility queries or incoming bills as required.
* Carry out any Adhoc property visits as required by the office, if needed.
* Any other Adhoc property administrative tasks or projects as required.
Requirements
* Previous office experience is essential.
* Proficiency in data entry with a keen eye for detail to ensure accuracy in all records.
* Strong communication skills, both verbal and written, with an emphasis on effective phone etiquette.
* Ability to work independently as well as part of a team, demonstrating initiative in problem-solving situations.
* A full UK drivers licence and access to own vehicle is essential.
