PURPOSE OF THE POSITION:

We are seeking a proactive and organised Administrative Assistant to support the Group Transport Compliance Manager in delivering and facilitating in all aspects of administration work in relation to Plant, Logistics and Transport Compliance. The successful candidate will work within the Admin Team reporting to the Transport Compliance Manager along with other senior managers & Directors.


ROLE RESPONSIBILITIES

The duties are many and varied, but the list below is considered to be the basic requirement:


* To assist with daily transport and driver compliance.
* Liaise with members of the Transport team and problem-solving issues as they arise
* Maintain and update driver compliance and training records, ensuring time sensitive training and paperwork is completed, returned and filed on time.
* Use various systems and feedback from managers to assist with monthly reporting on vehicle/driver availability and driver performance.
* Serve as the first point of contact for training providers, and internal stakeholders.
* Assist with audit material for upholding company accreditations.
* Work with the transport team to appeal and complete any fines and charges issued to the company.
* Receiving, sorting, and storing paperwork in line with GDPR.
* Provide administrative support for project meetings, including preparing agendas, taking notes, and following up on action points.
* Perform general administrative tasks, such as managing correspondence, maintaining records, and generating reports.
* Responsibility for compliance and discharging legal duties with regards to Transport Compliance and Health & Safety to promote a safe, equitable and legally compliant work place.


KNOWLEDGE, TRAINING, QUALIFICATIONS AND EXPERIENCE REQUIRED TO DO THE JOB


* Proven experience in an administrative or project coordination role.
* Excellent communication skills both verbally and written.
* A can-do attitude with a positive and flexible attitude towards work.
* Excellent organizational and time management skills with the ability to manage multiple tasks simultaneously.
* Strong communication and interpersonal skills, with a professional and approachable style.
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Sharepoint.
* Self-motivated and proactive, with a high level of attention to detail.
* Strong analytical and problem-solving skills.
* Ability to work both independently and as part of a team.
* Transport or Plant background preferred but not essential.
