Job Overview
In our quest to deliver patient-focused quality care we are looking to recruit a highly motivated and enthusiastic Administrator to join our forward-thinking, friendly, and expanding Health and Justice Services EOS team at HMPYOI Bronzefield. Working as part of a multi-disciplinary team, the Administrator will provide efficient secretarial and administrative support to the EOS team.
Responsibilities
* Prepare and distribute documents using the prison administration system (CNOMIS/DPS), the patient administration system (Systmone), and Microsoft Office software.
* Provide telephone reception service and handle telephone calls, correspondence and other internal or external agencies.
* Deal with outgoing and incoming correspondence, ensuring timely mail distribution.
* Organise and attend meetings, prepare reports, agendas, and minutes.
* Coordinate travel and accommodation arrangements.
* Coordinate local events as required by the EOS Clinical Lead and Offender Personality Disorder Head of Service Line.
Qualifications
* GCSE or equivalent qualification.
* NVQ 3 or RSA 3 or equivalent experience.
* ECDL (desirable).
Experience
* Relevant qualification or substantial administrative experience.
* Experience providing receptionist duties and dealing with members of the public face-to-face and on the phone.
* Experience working in a health or health-related environment.
* Experience working with staff at a senior level.
* Experience working within multidisciplinary teams (desirable).
* Experience supervising/managing staff (desirable).
* Experience using a trauma-informed approach (desirable).
Skills & Knowledge
* Comprehensive working knowledge of Microsoft Office (Word, Excel, PowerPoint, Access).
* Numerate, able to provide statistical data clearly and accurately.
* Familiarity with medical reference or related software.
* Demonstrated organisational ability over a wide range of tasks, including filing, diary management, record keeping and statistics.
* Ability to work flexibly, prioritise and meet deadlines.
* Knowledge of Client Administration Systems (desirable).
Other
* Ability to work in a secure environment, obtain and maintain prison security clearance, and comply with HMPPS policies and procedures.
* Ability to understand and implement the Equal Opportunities Policy at a level appropriate to the role.
