Why This Role Matters
The successful candidate will provide comprehensive administrative support as a sale coordinator. The duties are varied and follow the cycle of the auction calendar, as well as handling the execution of private sales on an ad hoc basis. The coordinator acts as the project manager for sales – managing sale related deadlines, client paperwork, and the processing of property, along with other duties to support general department activity.
How You\'ll Make an Impact
* Manage Seller Agreement and Stock Order creation for both auction and private sales property, dispatch paperwork to sellers for signature promptly, and follow up accordingly
* Manage the Pipeline and Sale Runner spreadsheets and ensure they are kept up to date
* Property Management – proactively track receipt of property and follow-up on open issues, request and track site transfers, temp releases, and transfer to third parties as required. Coordinate shipping requests in conjunction with shipping manager and Head of Sale Management including approvals and scheduling
* Manage catalogue production deadlines an collaboration with Wine Cataloguer, and act as main point of contact for colleagues from Marketing, Photography, and Publishing
* Work with Head of Sale Management on costs review and manage and track charges, raise purchase orders and invoices
* Stock control - liaise with in-house and third party warehouse managers to ensure current and aged inventory is correct and to amend any inaccuracies
* Manage sale activities including bids requests, participate in Telephone bid training and telephone bid in Luxury sales as required
* Post-sale Processes -review post-sale reports for accuracy, prepare information for handoff to Post Sale Service Team, collate actions for unsold items from specialists and action in JDE, answer post sale enquiries and manage post sale communication with sellers
* Act as department liaison for both internal and external general inquiries
* Any other duties assigned by Head of Sale Management
Private Sales
* Administrate Private Sales in line with the Private Sales UK Process, the Pre-Sale and Buyer Due Diligence Policies and Private Sales International Management
* Keep comprehensive records of all Private Sale transactions and maintain Private Sale files and runners in good order
What you’ll bring to the team
* Exceptional client service skills including superior verbal and written communication skills
* Robust project management skills including ability to multi-task, prioritize, and manage multiple processes
* Strong attention to detail and follow-up skills, proven capability when working with large volumes of data
* Ability to work collaboratively across multiple groups and sites
* Discretion when dealing with highly confidential information
* Ability to remain calm in stressful situations
* Ability to creatively problem solve
* Prior experience in a department in an auction house, and knowledge of the auction workflow and processes required
* Strong knowledge of Excel, Outlook, and MS Teams required, and knowledge of Christie’s systems (COS, JDE, and Canvas) beneficial
