About the role

We are seeking a professional, discreet, and highly capable Executive Assistant to support our CFO and Finance senior leadership team. This role requires exceptional organisational skills, strong attention to detail, and the ability to operate with discretion. The ideal candidate will have experience in financial services and be comfortable working in a fast-paced, high-pressure environment.

Responsibilities

1. Calendar management including scheduling internal and external meetings, coordinating schedules, managing diaries; troubleshooting any conflicts. Inbox management including filtering emails, highlighting urgent correspondence and respond on behalf of the Executive or senior leadership team where required.
2. Provide foresight and awareness, balancing intuition with analysing information make informed decisions about what needs doing, when things need doing and who needs consulting.
3. Meeting administration - including preparation of agendas, paper collation and attending meetings to produce minutes and action tracking, chasing action completion.
4. Produce, design, format, collate and proof-read documents as required.
5. Event administration - researching, venue sourcing, recommending suppliers, logistics, accommodation and travel requirements.
6. Manage multiple managers – manage relationships and prioritise tasks effectively.
7. Act as the point of contact among Executives, employees, clients and other external parties.
8. Administer expenses, raise invoices/purchase requests and, where required, assist with cost centre/budget management/review and approval of expenses.
9. Lead projects to support the Executive or senior leader as and when required including preparation of project documentation, reports and budget management.
10. Maintain and update as required systems and administrative processes.
11. Support team recruitment and onboarding of new employees including the organising of specific induction programmes where required.
12. Take responsibility in everything you do to deliver good outcomes for our customers.
13. Positively demonstrate the Nucleus values and behaviours.
14. Ensure compliance with Code of Conduct at all times.

About you

Your friends would probably describe you as the ‘super-organised one’ who is a natural planner, motivated by going the extra mile to provide efficient and reliable support to your stakeholders. You’ll love working with people, thrive in challenging situations and are known for your ‘can-do’ attitude.

Proactive, flexible, and a real self-starter, you’re a pro at anticipating people’s needs and will persevere and use your initiative to get the job done with the best outcome possible.

We’ve always placed more importance on cultural contribution above technical ability, but we’d really like you to have/be:

15. Previous experience working as an Executive Assistant at senior management level ideally within financial services companies.
16. Excellent oral and written communication skills and ability to professionally represent the business.
17. Strong organisational skills, with the ability to multi-task, organise others and manage deadlines.
18. Ability to prioritise and manage own workload amid conflicting demands and busy work periods.
19. Meticulous attention to detail while working at pace.
20. Strong Microsoft skills are essential (Outlook, Word, Excel and Power Point).
21. Worked within a pressurised environment requiring flexibility and adaptability.
22. Discretion, diplomacy, and the ability to handle sensitive information in confidence.
23. Ability to think ahead and anticipate needs before they arise.
24. Ability to develop and maintain good working relationships at all levels, including during difficult or challenging circumstances.
