Receptionist – Temporary – Immediate start
Salary: £12.21 per hour

Hours: 38 hours per week – Mon – Fri

Job Purpose
To provide a high quality, professional reception and administrative service to external visitors and internal colleagues. To act as the first point of contact for enquiries. To ensure that enquires and administrative duties are efficiently and courteously handled to the mutual satisfaction of the business and customers.
Responsibilities
Greet and welcome all visitors upon arrival.
Ensure you liaise with the group General Manager’s PA to understand meeting requirements, ie; Lunch or refreshments
Ensure the Gatehouse is kept fully up to date with all visitors in line with the company visitors policy and contractor policy.
Ensure visitors are booked in, in line with requirements
Manage and prepare refreshments and lunch for meetings where required.
Ensure there is a ‘Customer Welcome Sign’ displayed on the TV and personalised visitor badges prepared when customers are expected.
Maintain the reception area, ensuring it is clean, tidy and presentable
Promote the corporate brand and image at all times, showing the standards of excellence promoted by the company, remaining professional at all times.
Answer, screen and forward incoming phone calls, taking messages when someone is not available to take a call.
Check and respond to all answer phone messages promptly.
Manage conference room bookings, ensuring cleanliness at all times.
Receive, sort, and distribute daily post and deliveries.
Ensure the franking machine is maintained and always has sufficient funds available
Control stock levels of stationery and general refreshments and ensure good housekeeping in both the stationery cupboard and kitchens.
Keep updated records of office expense and cost.
Manage and control the supplier and customer calendar in Outlook.
Manage emails and forward on accordingly
Update the phone extension list as required.
Prepare and organise senior managers itineraries and travel arrangements.
Uniform management - this includes ordering and distributing uniform, regular stock checks, ensuring that cupboards are kept tidy and maintaining accurate records of uniform.
Ensure all visitors have the required visitors passes on arrival
