Job Summary

We are looking for a motivated and detail‑focused individual to join our award winning Clinical Audit and Effectiveness Team as the NMTR Co‑ordinator / Clinical Audit & Effectiveness Assistant.

In this role, you will help identify major trauma patients, ensure accurate and timely data submission to the National Major Trauma Registry, and support clinical audit activity across the Trust. You’ll work closely with the Trauma Team and wider clinical staff, using multiple clinical systems to capture and interpret patient information.

We are seeking someone who is organised, confident with data, able to work independently, and committed to improving patient care through high‑quality audit and information.

Please Note: This role is PENDING AFC SALARY BANDING APPROVAL; therefore, salary cannot be fully confirmed until the Banding is approved.

Main Duties of the Job

The post-holder will be responsible for the provision of timely, accurate and reliable data to the National Major Trauma Registry (NMTR). This will involve the identification, using the NMTR inclusion criteria, of patients admitted to the Trust with major trauma and subsequent completion of data submissions via the Submissions portal. The post holder may also be required to participate in clinical audit projects and will be responsible for producing regular reports to the Trauma Team identifying barriers to data collection, percentage data completeness and progress with data entry.

The post holder will support the function of the Clinical Audit and Effectiveness team by assisting in supporting national and local audit activity with data extraction from relevant sources and upload of results.


Job Responsibilities

* Act as a point of contact within the Trust for NMTR and clinicians to communicate data queries and other enquiries relevant to NMTR.
* Coordinate the provision of accurate, reliable and timely data to NMTR by completing data submissions via the web‑based system, according to the NMTR inclusion criteria.
* Discuss data queries with NMTR and Trauma Team.
* Use Electronic Patient Records (EPR), PAS, CHRIS, PACS, ORMIS, HIS and A&E IT systems to assist data capture.
* Provide an audit trail that identifies reasons for exclusion of patients identified.
* Maintain records that indicate completed data sets.
* Independently produce reports on barriers and progress to the Trust Trauma Team.
* Ensure that confidentiality and data protection is maintained when providing and receiving sensitive information.
* Ensure that the Trauma Team is updated with changes within NMTR.
* Comply with the Data Protection Act 1998 and information governance.
* Ensure data input and completeness is consistent with year‑in‑year improvements.
* Attend Trauma Team meetings and actively feedback clinical information that requires further scrutiny and review.
* Take responsibility for all records (including patient health, personal and administrative) that are gathered or used as part of the work within the Trust.
* Provide reports about statistical information that is requested by internal or external organisations expediently.


Planning and Organisational Duties

* Manage own workload independently, escalating issues, concerns and problems as appropriate to line manager.
* Establish and maintain effective filing systems online.
* Manage requests for NMTR data from clinicians and other hospital staff and produce reports which enable service review and improvement.
* Monitor and maintain an issued log with respect to NMTR.
* Provide support and data input for the National Clinical Audit Programme, including analysis of patient records and extraction of relevant information.
* Locate paper patient health records for audits where required.
* Assist with clinical audit projects through involvement in data collection, data input, and dissemination of clinical audit results.
* Work flexibly as part of the team to maintain an efficient service especially in times of absence (annual and sickness leave).
* Use clinical knowledge to analyse and interpret clinical records in the identification of capturing relevant information.
* Support MDT clinical audit by analysis of individual case management.
* Attend conferences and seminars relevant to NMTR.


Communications and Key Working Relationships

As a member of the Clinical Audit and Effectiveness Team, secure good and effective working relationships for both the team and the wider teams.

* Liaise with colleagues, medical, nursing and others as necessary in the clarification of clinical information.
* Liaise with diagnostic departments about queries relating to scans/tests.
* Liaise with other relevant NHS Trusts to identify inter‑hospital transfers and ensure NMTR records are completed.
* Assist clinical and other staff in the interpretation of data reports received from NMTR and to identify areas for future audit, review and improvements.


Person Specification


Qualifications

Essential
* Recognised IT qualification, administration or business qualification or equivalent experience.
* Good general education.
Desirable
* Experience in IT systems within the Trust (eg. PAS, EPR, ORMIS, ECDL, HIS).


Experience

Essential
* High level of skill in the use of Microsoft software packages including Excel and Word.
* Demonstrated ability to work in a team.
* Ability to interpret and present data clearly in a variety of formats, including the development of high‑quality reports using IT systems.
Desirable
* Previous NHS experience.
* Experience in coding or equivalent clinical experience in either A&E or Orthopaedics.


Skills

Essential
* Excellent communication and interpersonal skills.
* Ability to produce reports.
* Ability to work independently without direct supervision.
* Good time management skills.
Desirable
* Ability to use databases.


Knowledge

Essential
* Knowledge of patient information systems.
* Knowledge of NHS clinical systems and processes.
* Knowledge of NMTR.

* Knowledge and understanding of medical terminology.
* Knowledge of clinical governance.

* Flexible and able to work on any area and site within the Trust.
* Ability to work unsupervised and as part of a team.
* Speak English to an appropriate standard relevant to the role, i.e. with confidence and accuracy, using correct sentence structures and vocabulary, and without hesitation.
Desirable
* Ability to troubleshoot effectively.
