Purpose
The Site Administrator will assist key executives of the company with scheduling, organizing, and coordinating administrative tasks.
Main Tasks and Responsibilities
Executive Assistant:
* Act as a Personal Assistant to the company’s International Operations Leader and the Site Manager.
* Support scheduling and assist with priorities.
* Send communications.
* Organize and prepare for meetings.
* Coordinate travel arrangements.
* Collate contributions for site and corporate meetings.
Administrative Support:
* Provide general administrative assistance for the Commercial department and other departments as required, within reason.
* Triaging incoming calls and directing them appropriately.
Marketing Support:
* Assist with tradeshow planning.
* Help with website updates and routine maintenance.
Travel & Logistic Coordinator:
* Organize taxis and transportation for departments and visitors.
* Oversee maintenance of company pool cars.
* Assist with hotel bookings for conferences and customer visits.
Event & Function Support:
* Support departments with refreshments and catering for meetings and visits.
* Ensure coffee machines and fridges are stocked.
Facilities & Visitors:
* Serve as point of contact for staff house and visitors during contracted hours.
* Organize PPE for visitors.
* Arrange repairs for meeting rooms and offices.
Site Council Coordination:
* Schedule and prepare minutes for Site Council meetings.
Purchasing & Expenses:
* Manage registered postage services.
* Raise purchase orders for taxis, subscriptions, etc.
* Process expenses for Senior Leadership Team.
Site Communications:
* Assist with producing and distributing the quarterly site newsletter.
* Coordinate quarterly Town Hall meetings.
Skills and Qualities:
* Excellent telephone manner.
* Confident in dealing with people at all levels.
SHEQ:
* Work according to company policies in a safe manner.
* Participate in site audits and provide feedback.
