Role Purpose

To provide support to the CEO in all aspects of business operations within the practice and to oversee the administrative support to the Firm to ensure that our relationships with clients can be optimised and assist with the daily operations of the office.

Key duties and responsibilities

* Manage the CEO's diary and client appointments;
* Provide administration support to the CEO/Operations Manager as required;
* Liaise with clients and third parties in relation to the Firm's practice and act as the first point of contact for client administrative queries;
* Answering incoming telephone calls, dealing confidently and effectively with clients, product providers and third parties with professional and effective communication skills;
* Provide high level technical and administrative support to the Firm;
* Support the CEO to ensure the end-to-end business process is adhered to and tracked efficiently in line with regulatory standards;
* Running reports and illustrations and collating key data;
* Pre-meeting preparation and post meeting follow up, including accurately updating client files on Salesforce CRM;
* Producing templated client letters and reports;
* Extensive liaison with SJP Admin Centres, providing information required to complete transactions within specific timescales;
* Ensure that files are complete post-sale with all required client identification documentation and necessary application forms;
* Maintain accurate clients files/records updating when necessary, ensuring client reviews are up to date
* Prepare portfolio valuations as requested;
* Support the day-to-day business operations within the Firm;
* Project a professional image in both appearance and attitude and provide quality support on time to agreed standards;
* Attend and contribute to regular update meetings weekly with the Operations Manager/CEO;
* Maintain technical competence at an appropriate level to meet the requirements of the role
* Maintain a good working relationship with colleagues, clients and third parties.

Knowledge and experience:

* Previous experience in a PA/office support role, ideally in financial services or IFA practice;
* Knowledge of relevant FCA regulation and legislation (desirable);
* Experience of setting up and maintaining systems, processes and procedures;
* Experience of client management systems such as Salesforce (desirable)

Skills and behaviours:

* Excellent face-to-face and telephone client interaction skills and ability to build rapport swiftly;
* Excellent written communication skills;
* Broad experience of Microsoft Office (Outlook, Word, Excel);
* Excellent organisation skills;
* Strong attention to detail;
* Manages time effectively with the ability to multi-task;
* Keeps calm when faced with conflicting demands and handles these effectively;
* Demonstrates a positive can do attitude at all times;
* Works well on own tasks as well as on shared goals as part of a team;
* Open to change with a creative approach to problem solving;
* Willing to progress and have a career in the financial services.

Job Type: Full-time

Expected hours: 36.5 per week
